Option 1: Read the QR code or barcode with a handheld scanner on a PC or tablet

You scan the QR code or the barcode of the tickets with a small hand-held scanner that is connected to your PC or tablet via a USB cable or wirelessly. This looks professional and, due to the technology used, is faster and better than using a smartphone camera.

The scanners usually do not need to be configured. Just plug in and start.

procedure

  • Go to the following eveeno page: My Events> Bookings> Admission Control
  • Select the above Task of the station (only check-in, only check-out or both). You can also use the Limit ticket inspection to a specific ticket type.
  • Make sure that the Always focus in this window during scanning is. If that is not the case, a short warning tone sounds. The message to click on the window first appears.
  • Barcode scanner via USB / Bluetooth / etc. connect. The barcode scanner behaves like a keyboard and “types” its characters into the search field.

  • Each to scan looks for the ticket and validates it immediately or registers the check-out.

  • It is continuously displayed how many guests are currently checked in. If there are several check-in and check-out stations, the current status polled by the server every 30 seconds.

Troubleshooting

If scanning doesn't work even though you logged in to eveeno are the Entrance page called and the Scanner connected please check the following points:

  • Is the connection successful between scanner and laptop? Did the laptop recognize the scanner?
  • Does the scanner use an English (US) Keyboard layout? If not, resetting the scanner to factory settings often helps.
  • If no characters appear in the search field and the information above did not help, the device may be defective.
  • If a character string appears in the search field but no ticket is found, please copy the character string and send it to us by email for further analysis.

Smartphone as a scanner

You can also use your smartphone as a scanner. Please note, however, that the scanning process takes longer due to technology than with a hand-held scanner and that some functions are not available when scanning with the smartphone (filter by ticket type, select station function, etc.). We therefore recommend using a hand scanner.

You scan the QR code of the tickets with a smartphone or tablet that is connected to the internet. To do this, use one of the numerous QR scanner apps. It should work with almost everyone, just give it a try! The process is similar to the variant mentioned above:

  • QR scanner app to install (any, try)
  • Any ticket for your event to scan (from the first guest or you can print out a sample ticket beforehand)
  • The event website will open - now with your eveeno ID log in.
  • Scan the QR code and click or confirm the link (depending on the app used). The browser will open. There you will see the participant data of the ticket and can click the check-in / out button.
  • It is reported if a ticket is forged, booked for another event or already canceled.
  • To scan the next ticket, switch back to the scanner app (back button).

 

Option 2: quick search in the system and visual inspection of the tickets

You can also perform an effective check-in / check-out with the manual search for the name, email address or booking number of the guests:

  • Go to the following eveeno page: My Events> Bookings> Admission Control
  • Select the above Task of the station (only check-in, only check-out or both). You can also use the Limit ticket inspection to a specific ticket type.
  • in the Search field just enter parts of the name or the ticket number and with return start the search. The EscapeKey deletes the search field by the way.

  • The guests concerned are displayed with buttons for Check in and out (with the appropriate pre-setting of the task of the station).

  • If you have a ticket wrongly canceled you can use the function Share tickets (The function must first be activated under "Task of this station").

 

Option 3: Compare with a printed list

You can use eveeno's report functions to send a Export and print the participant list and traditionally check off your guests on the list. Then you don't need any further technology. However, you will then not have any extended attendance data (time of check-in and check-out and the current number of visitors).

Control against copies: Each ticket has a small secret code at the top that must match the name and ticket number - if in doubt, you can compare this code with the list.

Due to the Up-to-the-minute electronic recording of presence you can call up at any time how many people are currently on site. If you also have the Check-out function at the exit or when leaving the premises, you can see which people were present at a certain time.

You can find the relevant data within the retention periods under Bookings> Admission Management> Protocol. You can filter this list by days or bookings.

To download the log and use it in a spreadsheet program, please carry out the following steps:

  1. Maximize the log display by clicking on the symbol
  2. Select all data with the key combination Ctrl + a.
  3. Copy the marked data with the key combination Ctrl + c.
  4. Open a table processing program (e.g. Excel) and paste the data there with the key combination Ctrl + v.
